AI at the core, not just as a tool

By Optifirm's consultants3 min read

Most companies have tried AI by now, perhaps a chat assistant here and an automated summary there. It saves time, but it rarely changes the business. The difference between using AI and building with AI at the core is the difference between working a little faster and working in a completely new way.

What is the difference between a tool and the core?

When AI is used as a tool, it is placed on top of processes that already exist. People do the same work as before, but get help writing, searching or summarising. The value is real but limited, and it disappears as soon as someone stops using the tool.

When AI is the core, you start from what becomes possible. The process is redesigned so that AI does what it does best, such as analysing large amounts of information, finding patterns and suggesting next steps. People do what they do best, which is judging, deciding and building relationships. AI then becomes part of the delivery itself, not an add-on.

Three signs that AI is still just a tool in your business

  • AI use depends on individual employees' interest, not on how the work is organised.
  • Nobody can say which business metric the AI initiative is meant to improve.
  • The data AI needs is scattered across systems that do not talk to each other.

How to build your business with AI at the core

  1. Start with the business, not the technology. Choose a flow where time, quality or customer experience drives your profitability, for example quoting, case handling or customer follow-up.
  2. Map decisions and information. Which decisions are made in the flow, and what information is needed to make them better and faster?
  3. Make data available and reliable. AI is never better than its input. This is often the biggest piece of work, and the one with the most lasting value.
  4. Redesign the process. Let AI take the first pass and let people review, adjust and approve. Be clear about where responsibility lies.
  5. Measure and improve. Follow up against the business metric you chose at the start and build on where the effect is greatest.

Security and control from day one

AI at the core requires more order, not less. You need to know which information may be used, where it is processed and how the results are checked. Personal data and trade secrets must be handled in line with GDPR and your own policies, and it must be clear when a decision has been made by a person. Built in from the start, AI becomes a safe part of the business rather than a risk on the side.

The question is not which AI tool to buy, but which part of the business would work differently if the information were always at hand.

Start small, but in the right direction

You do not need to transform the whole business at once. Choose one flow, set a measurable goal and build a first version that is actually used. Once it delivers, you have both proof and a model for the next step. That is how AI moves from experiment to core.

At Optifirm we combine AI transformation with systems development and business development. We find the use cases with the most value, build the solution securely into your systems and follow up on the effect. Book a meeting and we will go through where AI can make the biggest difference for you.
